At Freedom Wheels Car Rentals, we aim to make your car rental experience smooth, safe, and worry-free. Please read the following policies carefully, as they govern how rentals operate and your responsibilities during the rental period.

1. Fuel Policy

Vehicles are provided with a full tank of fuel and should be returned with a full tank.  

If the vehicle is returned with less fuel than provided, the renter will be charged for the missing fuel at the current local fuel rate, plus a refueling service fee of $50 USD to cover the time and cost required to refuel the vehicle.

2. Cancellation Policy

At Freedom Wheels Car Rentals, we understand that travel plans can change. Our cancellation policy is designed to be clear and fair for all customers.

Cancellations made more than 48 hours before the scheduled pickup time are fully refundable.

Cancellations made within 48 hours of the scheduled pickup time are non-refundable.

If a booking is not collected at the scheduled pickup time and no prior notice is given, it will be treated as a no-show, and no refund will be issued.

Modifications to bookings (such as changes to dates, times, or vehicle type) are subject to availability and may result in rate adjustments.

Refunds will be processed using the original payment method and may take several business days to reflect, depending on the payment provider.

3. Mileage

Standard rentals include unlimited mileage.

Certain vehicles or special promotions may have mileage limits; these will be communicated at the time of booking.

4. Vehicle Condition and Inspection

All vehicles are inspected before pickup, and any existing damage is documented.

Photos and/or video recordings will be used to document vehicle condition before and after rental.

Renters are encouraged to check the vehicle thoroughly and report any discrepancies.

Upon return, the vehicle will be inspected for new damage, missing equipment, or cleanliness.

Charges for damages not covered by the selected protection option, missing items, or excessive cleaning may apply.

5. Damage Assessment

Vehicle damages are assessed using standard repair charges for common types of damage. These charges help ensure a fair and consistent process for both the renter and the rental company.  Protection option reduces the renter’s liability.

Minor cosmetic wear consistent with normal vehicle use will not be charged.

6. Late Return Policy

Vehicles must be returned by the agreed-upon time.

Late returns will be subject to additional daily rental fees, calculated in full-day increments.

If a vehicle is returned more than 24 hours late, additional fees will apply at standard daily rates.

7. Smoking and Pets

Smoking in vehicles is strictly prohibited.  Pets are not allowed.

8. Traffic Violations and Fines

Renters are responsible for all traffic fines, parking violations, or tolls incurred during the rental period.

Freedom Wheels Car Rentals may charge these fines, plus an administrative processing fee, to the credit card on file or in case of cash, deducted from the cash deposit.

9. Accident or Damage Reporting

Any accident, theft, or vehicle damage must be reported immediately to Freedom Wheels Car Rentals and to the local police authorities where required.

A police report is mandatory for all accidents, collisions, theft, or significant vehicle damage occurring during the rental period. Failure to obtain and provide a police report may result in the protection option becoming void, and the renter may become fully liable for the cost of damage or loss up to the full value of the vehicle.

Applicable charges will be assessed in accordance with the Rental Agreement and applicable protection terms.

10. Administrative Fees

Damage Administration Fee: $75 USD.  Applied when vehicle damage occurs and requires processing or insurance claims.

Additional administrative fees may apply for lost keys, missing equipment, or cleaning beyond normal use.

11. Security Deposit

A refundable security deposit is required at the start of every rental and is processed at vehicle pickup. Credit card deposits are handled as a pre-authorization (hold), while cash deposits are collected at the same time. The deposit must be provided using a major valid credit card in the renter’s name (preferred) or cash.

The deposit will be held for the duration of the rental and refunded after the vehicle is returned and inspected, provided no additional charges apply.

Deposit amounts vary depending on the vehicle type and payment method::

Card - $2500-$3700 USD (Dependent on type of vehicle)

Cash - $2800 USD

Depending on the payment method:

Credit card deposits will be held and charged if necessary.

Cash deposits will have applicable charges deducted, with the remaining balance refunded.

The deposit will be used to cover vehicle damage not covered by the protection options, traffic fines, unpaid fees, missing fuel, missing equipment or accessories.

The security deposit is not a limitation of liability and does not cap the renter’s financial responsibility under this agreement.

Debit cards are not accepted for security deposits.

12. Credit Card Insurance Coverage

Some credit cards may offer rental vehicle insurance (Collision Damage Waiver or Loss Damage Waiver). 

Customers who choose to rely on their credit card coverage must ensure that:

- The coverage is valid in Saint Lucia

- The rental is paid in full using the eligible credit card

- The renter meets all requirements set by the card provider

Please note: Credit card coverage typically applies only to damage to or theft of the rental vehicle. It generally does not cover third-party liability, personal injury, administrative fees, loss of use, or other rental-related charges.Coverage varies by provider and may not be guaranteed.

Customers who decline our protection options and rely on credit card coverage remain fully responsible for any damages or charges during the rental, up to the

full value of the vehicle.

We recommend confirming coverage details directly with your credit card provider before your rental.

For greater protection and reduced financial responsibility, we recommend selecting our protection option.

13. Insurance and Protection Options

Renters may choose our Collision Damage Waiver (CDW) + Fire & Theft Protection, as well as optional Tyre, Windscreen & Interior Protection.

The protection option reduces the renter’s financial responsibility for vehicle damage, theft, or fire.

14. Vehicle Usage

Vehicles must be used in accordance with local traffic laws of St Lucia and Freedom Wheels rental conditions.

Unauthorized use, including off-road driving, racing, or transporting illegal goods, will result in the protection option becoming void and full liability applying.

15. Early Termination of Rental

Renters may return vehicles earlier than the agreed rental period.

Refunds for unused rental days are not guaranteed and are issued at the discretion of Freedom Wheels Car Rentals, unless otherwise stated in a specific promotion or written agreement.
